Privacy Policy
Your privacy matters. VoiceReminder is a voice-first reminder app: you speak a reminder, the app works out what you meant, and it speaks the reminder back to you when it's due. Turning speech into a reminder takes a few seconds of work your phone can't do on its own, so your recording makes a short round trip to our backend and back. This policy explains exactly what happens while it's there, who helps us do it, and how quickly it's deleted.
1. Who we are
VoiceReminder is built and run by an independent developer ("we", "us", "our"), who is the data controller for everything described here. There's no support department to get lost in — questions come straight to a person, at athea.hab@gmail.com.
2. What we collect
VoiceReminder has no accounts and no sign-in. We never ask for your name, email address, phone number, or contacts, and we don't collect your location. Here is everything the app actually handles:
- Voice recordings. Only what you say while the recorder is open and you're holding the button. The microphone is never listening in the background.
- Reminder content. The title, description, time, date, and repeat schedule of each reminder — whether it came from your voice or you typed it in.
- Generated reminder audio. The spoken version of your reminder that plays when the alarm goes off.
- An install identifier. A random string your device generates the first time you open the app. It is not your Apple Account, not a hardware serial number, and not tied to your identity. It exists so our backend can tell your reminders apart from everyone else's. Delete the app and it's gone; reinstall and a brand-new one is made.
- Crash and diagnostic reports. If something breaks, technical details — device model, operating system version, and where in the code the failure happened — go to our error-monitoring service so we can fix it.
- Feedback you send. If you send feedback from inside the app, we keep what you wrote so we can read and answer it. Depending on where you sent it from, a short bundle of technical details goes with it — the app build and version, and either the saved details of the reminder you were looking at or the details of a recording that failed — so we can make sense of the report. It's linked to your install identifier, never to your name, and it's emailed to the developer through an email delivery service so they actually see it. We keep feedback for up to 12 months.
- Subscription status. If you subscribe to Pro, our subscription-management service records that a purchase exists against an anonymous identifier.
3. How your voice becomes a reminder
This is the part worth reading closely: it's the only moment anything of yours leaves the phone, and it's a short one. When you record a reminder:
- The recording is uploaded to our backend over an encrypted connection.
- The audio is turned into text.
- That text is interpreted to work out the actual reminder — what it's about, when it should fire, whether it repeats.
- The finished reminder wording is turned into the spoken audio your alarm plays.
- Your original recording is then deleted from our backend. The reminder text and the generated audio stay, because the app needs them to remind you.
Failed recordings. If a recording fails to become a reminder, we keep it and its transcript for up to 7 days. We use them only to see where things went wrong and track down the issue in the app so we can fix it. Then they're deleted automatically.
Steps 2 to 4 are the ones VoiceReminder can't do on its own. They run on specialist speech and language providers that work to our instructions: each one performs the single step described, hands the result straight back, and is never permitted to use your recording for anything of its own. Section 5 lists everyone involved and what each is allowed to do.
Because that work happens off your phone, the app asks for your explicit permission before your first recording and won't record until you agree. You stay in charge of it: you can stop at any time by turning off microphone access for VoiceReminder in your device's Settings — nothing further is recorded or processed from that moment, and reminders you've already made keep working. You can also skip voice entirely and type reminders by hand.
4. Why we're allowed to process it (legal bases)
- Your consent — for processing your voice recordings as described in section 3. Freely given, and revocable at any time by turning off microphone access in your device's Settings.
- Performance of a contract — storing your reminders and delivering alarms is the service you asked for, and managing a Pro subscription is part of it.
- Our legitimate interests — keeping the app stable and secure, which is what the crash reports are for.
5. Who helps us run VoiceReminder
We do not sell your personal data. We never share it for advertising, and nobody receives it for their own use — not to train their models, not to build profiles, not for anything of theirs.
Like nearly every app, VoiceReminder is delivered with the help of a small number of trusted providers. Each of them processes data on our behalf and on our instructions, and only for the one job it does for us:
- Speech recognition — to turn your recording into text.
- Language understanding — to work out what the reminder is about and when it should fire.
- Voice generation — to produce the spoken reminder your alarm plays.
- Hosting and storage — to keep your reminders and their audio available to your device.
- Error monitoring — to tell us when something in the app breaks.
- Subscription management — to record whether Pro is active on your install.
- Email delivery — to send the feedback you write to the developer.
Each one sees only what its own job requires, is contractually bound to protect it, and is prohibited from using it for any purpose of its own. We pass on the smallest amount of data that lets each step work, and nothing beyond it.
Purchases themselves are handled entirely by Apple through the App Store. Apple processes the payment; we never see your card details, billing address, or Apple Account credentials.
Some of these providers operate outside the country you live in. Where that means a transfer out of the UK or EEA, we only work with providers that keep recognised safeguards in place for it — standard contractual clauses approved by the European Commission, or an equivalent protection. We may also disclose data where the law genuinely requires it.
6. How long we keep it
- Voice recordings: deleted from our backend as soon as processing finishes — normally within seconds of you speaking. If a recording fails, we keep it for up to 7 days to see where things went wrong and fix the issue, then delete it. We do not keep an archive of your recordings.
- Reminder text and generated audio: kept until you delete the reminder. Deleting a reminder in the app deletes its stored text and its audio files from our backend as well.
- Reminders on your device: stored locally so the app works offline, and removed when you delete the reminder or uninstall the app.
- Feedback: kept for up to 12 months so we can look into it and follow up, then deleted. Deleting a reminder does not delete a feedback report that mentioned it — the report is a separate record of something you told us, and it stays until its own time is up.
- Crash reports: retained by our error-monitoring service for a limited period (typically up to 90 days) and then discarded.
- Subscription records: kept by our subscription-management service and by Apple for as long as needed for billing and tax purposes.
7. What we never do
- We don't sell or rent your data to anyone.
- We don't run ads, and there are no advertising or analytics trackers in the app.
- We don't collect your location, contacts, photos, or health records.
- We don't build a profile of you or use your reminders to target you with anything.
- We don't let anyone else use your data for their own purposes — the providers that help run the app work for us, under contract, and that's the whole relationship.
- We don't record in the background — only while the recorder is open.
8. How we keep your data safe
Everything travels over encrypted (HTTPS) connections and is stored by our backend provider on encrypted infrastructure. Reminders are scoped to the install identifier that created them, so one device can't read another's. In the App Store version of the app, diagnostic reporting is limited to crashes and errors: it doesn't send app logs, screenshots, or the contents of your screen. No system is perfectly secure, but we keep the amount of data we hold deliberately small — the less there is, the less there is to lose.
9. Your rights
Wherever you live, you can ask us to:
- Access the data we hold about you, and get a copy of it.
- Correct anything that's wrong or incomplete.
- Delete your data — the "right to be forgotten".
- Object to or restrict how we process it.
- Receive it in a portable format you can take elsewhere.
- Withdraw consent at any time, without affecting anything done before you withdrew it.
- Complain to your local data protection authority if you think we've got it wrong.
10. How to exercise your rights
Most of it you can do yourself, instantly: delete a reminder in the app and its text and audio are deleted from our backend too, and turning off microphone access for VoiceReminder in your device's Settings stops any further voice processing.
For anything else — a copy of your data, or deletion of everything associated with your install — email athea.hab@gmail.com and say what you'd like. Because the app has no accounts, we can't look you up by name or email, so please include enough detail to identify your records (for example the titles and times of a few of your reminders); we may ask a follow-up question before acting. We'll respond within 30 days, free of charge.
If you'd rather not wait: deleting every reminder in the app, then uninstalling it, removes everything we hold that relates to you. (Failed recordings are deleted automatically within 7 days.)
11. Children's privacy
VoiceReminder is not directed at children under 13, and we don't knowingly collect data from them. If you believe a child has used the app and sent us data, email us and we'll delete it.
12. Changes to this policy
If we change how the app handles data, we'll update this page and change the "last updated" date at the top. Material changes — a new category of data, or a new kind of provider — will also be surfaced in the app. Continuing to use VoiceReminder after a change means you accept the updated policy.
